How to invoice freelance work professionally

Use a separate invoice number for every bill and keep the numbering consistent. A simple sequence such as INV-2026-001 makes it easier for you and your client to match payments, receipts and tax records. Put the project name near the top so the approver immediately knows which work the invoice covers.

Describe outcomes rather than writing a vague line such as “freelance services.” For a website project, list discovery, design, development and launch support separately. For an hourly engagement, show the date range, hours, rate and subtotal. Clear line items reduce approval questions and help invoices move through finance teams faster.

Set payment terms before sending

State the currency, payment method and exact due date. “Due within 14 days” is better than “pay soon,” while a calendar date is even clearer. If your contract includes a deposit, show the original project value, the deposit already paid and the remaining balance. Add any late-payment rule only when it also appears in the signed agreement.

Before downloading the PDF, check the client’s legal business name, billing email and purchase order number. Send the invoice to both your day-to-day contact and the accounts-payable address when appropriate. Keep the final PDF and mark the payment date in your own records.

A practical line item could read: “Landing page design and development, milestone 2 of 2, one completed deliverable, $1,200.” Another could read: “SEO consulting, May 1–15, 12 hours at $100 per hour, $1,200.” Specific descriptions show what was delivered without turning the invoice into a project report.
